The type of personal information we collect 

We currently collect and process the following information:

  • Personal identifiers, contacts and characteristics (for example, name, address and contact details).
  • Details of employment such as the name and address of your current employer and name of your past employers in relation to your previous roles and work experience.
  • Details of participation in EIIL events including images.
  • Invoicing or payment data of coaches and our employees.

 

How we get personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • Participation in EIIL workshops and events
  • Membership of the EIIL alumni organisation

and for our employees and suppliers:

  • Payment of salary or invoices

We also receive your personal information from the HR departments of the companies that you work with in relation to the EIIL workshop programme.

In some cases, we get personal information from peer contacts for use in the EIIL conference, NextEx or EntEx programmes.

We use the information that you have given us in order to contact you in relation to the EIIL workshop programme, EIIL alumni events, EIIL EntEx and NextEx and the EIIL conference programme.

The data that you share is not shared with any other organisation, in the EU or outside the EU.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent to be part of the conference or EIIL Alumni programmes. You are able to remove your consent at any time. You can do this by contacting Steven Price. 

(b) We have a contractual obligation related to the EIIL workshop programme and any EntEx or NextEx workshop.

 

How we store your personal information 

Your information is securely stored on the premises of the EIIL. 

We keep your contact details for a period of 10 years after the completion of the workshop, EntEx, NextEx programme or conference.  At the end of the 10 years, the data is deleted securely.  Where you have given consent for participation in the Alumni activities, your contact details are kept until you withdraw your consent.

For employee and coach invoicing and payment details are stored for a period of 10 years after the end of the relevant contract.

 

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information. 

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing – You have the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

To complete the view on your rights, we want to inform you that you have the possibility to file a complaint towards the Belgian Data Protection Authority (DPA), formerly known as the Privacy Commission via contact@apd-gba.be.

 

This is an option that is left, when The EIIL does not react to your requests in the foreseen timeframes or when the response does not satisfy your expectations.
